What it is
Aiden for Invoices helps protect your budget by ensuring every invoice submitted through Lessen aligns to the approved proposal, meets compliance requirements, and is checked for accuracy before it ever reaches your billing cycle. With line-by-line matching and consistent validation rules applied across every invoice, you get standardized cost controls by default and fewer surprises. The result is cleaner invoices, faster payment cycles, and stronger cost protection your team can rely on.
Its results
Before Aiden for Invoices, invoice quality and compliance checks depended on individual review. Confirming alignment to an approved proposal, validating tax compliance, and catching discrepancies at scale required manual effort, which made outcomes less consistent and created more back-and-forth.
Since launching Aiden for Invoices across residential portfolios:
92-97% of invoices move through streamlined approval without individual manual review Overall invoice rejection rates have dropped to 2.6% Tax compliance is validated on 100% of invoices Invoices are typically processed in under 48 hours, with manual exception reviews averaging 2.8 days
What this means for your team
Aiden for Invoices does not change how you receive or approve invoices. The difference is that by the time an invoice reaches your billing cycle, it has already been validated against the approved scope, checked for compliance, and reviewed by Lessen. What arrives is accurate, complete, and easier to approve with confidence.

How it works
Every invoice submitted through Lessen goes through a structured validation process before it advances, so the costs you review are consistently tied to approved scope, pricing, and compliance requirements. The same foundation that makes proposals consistent, including Resolution Codes, pre-agreed pricing, and structured scope, is what makes invoice validation enforceable at scale and helps reduce billing surprises.
Step 1: Proposal-to-invoice alignment happens automatically
When a vendor submits an invoice, Aiden compares it to the approved proposal line by line so you are paying for exactly what you authorized. This comparison, which was previously manual, now happens automatically and instantly. If the invoice matches the approved scope and pricing, it moves forward with high confidence. If anything has changed, the vendor must provide justification before the invoice can proceed. This prevents billing drift before it impacts your costs.
Step 2: Structured validation checks run on every invoice
Aiden applies two layers of validation to every invoice submitted.
Hard Stops are non-negotiable requirements.
An invoice cannot be submitted until these are met.
Financial Accuracy
• Labor and parts must be itemized when lump sums are not permitted • Pricing must be entered in the correct cost fields • Travel cost cannot exceed the vendor's contracted rate • Administrative, overhead, markup, or miscellaneous fees cannot be added as separate line items
Scope and Work Justification
• Labor hours must align with technician check-in and check-out time • Modifiers require clear supporting descriptions • Diagnostic time must remain within allowable limits for the issue
Compliance
• Tax must be applied correctly by jurisdiction and resolution code • Lump sum billing is not permitted where itemization is required
Soft Stops flag items that need attention. The invoice can be submitted, but these
are reviewed and resolved by Lessen before the invoice advances.
• Invoice description must explain the work performed and how it aligns with the approved proposal • Photos must correspond to the completed scope of work • Permit and close-out documentation will be required for payment • IAQ testing documentation will be required where applicable

Step 3: Lessen reviews exceptions before anything advances
Invoices that pass all hard stop requirements and align cleanly with the approved proposal move through efficiently. Soft stop flags and any discrepancies are resolved by Lessen's team, not passed along to your billing cycle. This reduces rework, limits costly over-billing, and helps ensure you only pay for documented, approved work.
Proposal-to-invoice alignment: confirming scope and cost match what was approved
Fair market pricing: validating that costs reflect the scope performed and market standards
Tax compliance: confirmed for every invoice, by jurisdiction and resolution code, not sampled
Labor accuracy: hours validated against technician check-in and check-out records
Documentation completeness: photos, permits, and any required close-out materials accounted for
If clarification or correction is needed, Lessen works directly with the vendor to resolve it. A human reviews and approves the final outcome. The AI surfaces the work and a person confirms it.
Step 4: A human confirms before final submission
Every invoice goes through a final human review step. Aiden prepares a structured report of all checks, flags, and confidence assessments. Your Lessen team reviews this report and makes the final approval decision. The process is streamlined, not bypassed. A full audit trail is maintained for every invoice, capturing what Aiden checked, what it found, and why each decision was made. These records are available for external audit review.
